Batch Controlled Items

Use the Batch Controlled function to be able to trace batches of Products and Assemblies from the time they’re received into stock (on a Purchase Order), to when they’re consigned to a Customer Order

Note:

To trace individual Products and Assemblies instead of batches of items, refer to Serial Number Controlled Items.

Mark an item as Batch Controlled

Note:

To be able to mark Products or Assemblies as Batch Controlled, you’ll need to have appropriate user access to the Product Catalogue module.

1.  Go to Product Catalogue > Products or Assemblies (depending on what type of item you want to mark as Batch Controlled). 

2.  Select the existing Product or Assembly you want to mark as Batch Controlled or create a new Product or Assembly.

3.  Under Additional Information on the right-hand side, toggle the Batch Controlled option to Yes

Note:

The Batch Controlled option can only be edited when there is zero stock of the selected item. If there are items in stock, you’ll need to make a Stock Adjustment to temporarily remove the stock, adjust the Batch Controlled option, and then make Stock Adjustments to return the items into stock (one batch at a time). When returning the items into stock, you’ll need to enter the Batch Number for each batch of items.

4.  Click Save to save your changes.

Receiving Batch Controlled Items

When receiving Batch Controlled items into stock (from a Purchase Order), you’ll need to enter the Batch Number. If there are multiple batches of the same Product on a Purchase Order, you’ll need to receive the Products one batch at a time (use the Save and Add New button to enter multiple batches quickly).

Monitoring Batch Controlled Inventory (Product Batches)

Note:

To be able to view Product Batches, you’ll need to have appropriate user access to the Inventory module.

Use the Product Batches page to monitor and trace Batch Controlled items.

Navigate to Inventory > Product Batches.
Use the Quick and Advanced Search to help you find the item you’re looking for.
By default, items are ordered by Product (numerically, then A-Z). To sort by something else, click on the column heading. Click again to reverse the sort order.
The Location, Received Quantity and Remaining columns help you to monitor batches at a glance.

Despatching Batch Controlled Items

When despatching Batch Controlled items (for a Customer Order), you’ll need to select the Batch Number. If you’re despatching multiple batches of the same item on a Customer Order, you’ll need to enter the Despatch Quantity one batch at a time (use the Save and Add New button to despatch multiple batches quickly).  For more information on despatching items, refer to Despatch Notes).
